Kayliana Digital · How we work
Clear scope. Practical steps. Human oversight.
Four steps from your first email to handoff. You approve each step before the next one begins.

From first email to handoff
This is our working process. Responsibilities and review points are agreed for each project; it is not a delivery guarantee or a record of completed client work.
Discovery
You describe the problem and how the work happens today; we send back a short summary for you to confirm.
Who does what in discovery
- Client input
- Describe the problem, intended users, current workflow and constraints; provide relevant content samples.
- Our output
- A discovery summary covering the need, assumptions, missing inputs and open questions.
- Review owner
- Client decision-maker reviews the summary; delivery lead records unresolved questions.
- Stop / decision
- Do not begin Scope until the client decision-maker confirms the summary and unresolved inputs are identified.
Scope
We agree in writing what you get, what is excluded, the price and how you will check the work.
Who does what in scope
- Client input
- Choose priorities, confirm available content and identify who can approve the work.
- Our output
- A scope draft listing deliverables, exclusions, dependencies, review points and acceptance criteria.
- Review owner
- Client decision-maker approves scope; delivery lead confirms delivery responsibilities.
- Stop / decision
- Do not begin Delivery until both roles agree the scope, responsibilities and acceptance criteria.
Delivery
We build or teach the agreed work, and you review it against the agreed checks.
Who does what in delivery
- Client input
- Supply agreed content and consolidated feedback against the acceptance criteria.
- Our output
- An in-scope draft, review notes and a record of outstanding issues or requested changes.
- Review owner
- Client decision-maker reviews the draft; delivery lead records issues and scope decisions.
- Stop / decision
- Do not advance to Handoff while acceptance issues remain unresolved or requested changes lack an agreed disposition.
Handoff
You receive the files, access notes and written steps, and you decide when the work is accepted.
Who does what in handoff
- Client input
- Review the deliverable inventory, identify the receiving owner and confirm required access arrangements.
- Our output
- A handoff record listing files, access arrangements, ownership terms, acceptance decisions and maintenance responsibilities.
- Review owner
- Client decision-maker records acceptance; delivery lead confirms the handoff record.
- Stop / decision
- Do not mark handoff complete until acceptance is recorded and inventory, access, ownership and maintenance responsibilities are acknowledged.
What we never promise
- Guaranteed leads, sales, search rankings or time savings.
- That AI answers are always right. A person checks AI output before it is used.
- A price that is not in writing. Every price is in your written quote before work begins.
Scope boundaries and changes
- Work outside the agreed deliverables is excluded unless separately reviewed and agreed.
- Publication, hosting changes and live integrations need separate agreement and approval.
- Ongoing maintenance and support are not included unless explicitly assigned and agreed.
Revisions and change requests are reviewed against the agreed scope. Agree any scope change before proceeding; review does not imply unlimited revisions or additional work.
Find a practical starting point
Tell us what your business does and what you would like to improve. We can then discuss a practical starting scope. Sending an email does not authorize work, spending or integrations. Never send passwords, account numbers or customer records in an inquiry.
